SFA Scholarship Process 2022-2023

FY23 Tentative timeline

11/30/21

  • Begin scholarship amount determination

12/3/21

  • Distribute tentative scholarship packet
  • FATS amounts are based upon the current year and may be adjusted at later date once overall allotment is confirmed by Enrollment, Planning and Management

12/6/21

  • Initial Scholarship meeting: Department Head, Scholarship Committee Chair, Administrative Assistant, Colleen, James, Karen

1/15/22

  • Freshmen admissions deadline – per SFA Admissions Timeline

2/4/22

  • Freshmen scholarship deadline
    • Disbursement form due to FSO office (should include all Freshmen on one excel disbursement form and not include any continuing students)
    • Scholarship letters should be retained in the department files and do not need to be sent to FSO

2/18/22

  • Freshmen scholarships due to Financial Aid (submitted by FSO and approved by FO/DEAN)

3/1/22

  • Incoming acceptance letters begin to go out, students can check financial aid package

4/15/22

  • Continuing student scholarship deadline
    • Disbursement form due to FSO office (should include all continuing students on one excel disbursement form)

5/1/22

  • Acceptance deadline
    • Departments should begin reviewing their freshmen scholarships to determine which students are not coming to UConn and which ones are but are not eligible to receive the scholarship based on factors such as not majoring in their department
    • Departments continue to have access to Eva’s spreadsheet (Summer O&R student roster), which is updated daily beginning May 1st

5/13/22

  • Freshmen scholarship reallocation deadline
    • Submit new disbursement form due to FSO office to redistribute any awards that are cancelled from the original Freshmen scholarship
    • Notify FSO of students not coming to UConn separately from any that are coming to UConn but not your program. Student who do not accept will have their awards automatically cancelled and the FSO just needs to reconcile the records, while students who come but aren’t part of your program need to be cancelled manually in addition to being taken off the FSO tracking

5/20/22

  • Freshmen reallocation scholarships due to Financial Aid (submitted by FSO and approved by FO/DEAN)

6/1/22

  • Fall fee bill generation begins

6/15/22

  • Foundation spending and reinvestment process begins in Dean’s Office
    • FSO to notify Department Heads of any potential overspending issues created based on final spending and reinvestment decisions.

7/15/22

  • Reconciliation on overspent accounts due to FSO from departments, if necessary

9/15/22

9/19/22 (tentative)

  • Fall 10th day data is available
    • Departments have 1 week to notify FSO of any scholarships that need to be cancelled and to reward to new students

9/26/22 (tentative)

  • Any unused FATS balances are swept from Departments to be redistributed by Dean based on need

10/14/22

  • Deadline for redistribution of FATS, all available FATS need to be fully expended or communicated that you are forfeiting a balance

11/15/22

  • Spring fee bill generation begins

2/13/23 (tentative)

  • Spring 10th day data is available
    • Departments have 1 week to notify FSO of any scholarships that need to be cancelled and to reward to new students

2/20/23 (tentative)

  • Any unused FATS balances are swept from Departments to be redistributed by Dean based on need

3/6/23

  • Deadline for all scholarship distributions for current year

 

We encourage departments to maintain a waitlist of scholarship recipients to make the reallocation process run more smoothly

 

Support

Amanda

  • Departments continue to have access to her spreadsheet (Summer O&R student roster), which is updated daily beginning May 1st
  • Has access to details on student changes, including items such as: who are no longer SFA major, not enrolled full-time, LOA, deferred admission, December graduates
  • Can provide report on GPAs for continuing students in late February

TD

  • Distribute weekly cumulative admissions reports
  • Academic Achievement for incoming students
    • Scholarship committees can send a list of incoming students they are considering for scholarships that have academic achievement as a requirement
    • Elizabeth will let you know if they meet the academic standard
      • This has been categorized as B+ or higher.

Financial Aid

  • Financial need
    • Scholarship committees can send a list of students (please include the full student’s name and Peoplesoft number) to Sara Raffia (raffia@uconn.edu)
    • It would be helpful to consolidate requests as much as possible and channel them through one team member
    • Financial Aid will color code based on high need, some need or little to no need
    • This is based strictly on the FAFSA EFC (estimated family contribution) and not the student’s financial aid package
    • If a student does not complete a FAFSA then they are unable to determine their need level, which would be noted on the report
    • The turnaround time for this information can be greater than a week depending on the time of year
  • LOAs/non-fulltime status
    • Financial Aid will occasionally reach out to the FSO regarding students who have taken a LOA, are not enrolled or are registered for less than fulltime status
    • The FSO will relay questions to the departments, so that they can determine if the student(s) should maintain/have adjustments made to their awards
    • Departments should not rely on these communications as the sole tracking measure for their scholarship recipients, but should be responsive to ensure Financial Aid can take the appropriate action
